# STRATOS solutions: EBT/CBTA and TMS for airline pilot training

> Two connected products for airline pilot training. STRATOS EBT/CBTA grades competency by the ICAO, IATA and EASA method. STRATOS TMS keeps every pilot current and every renewal planned. Both are configured to each airline's own training manual and authority, not tied to one regulator, and every airline's data is isolated from every other's.

## 1. STRATOS EBT/CBTA (competence): every grade consistent, every skill measured

Evidence-based training and assessment for airline recurrent pilot training. Grading, training planning, analytics and records in one system, built on the ICAO, IATA and EASA method.

- 9 ICAO/IATA pilot competencies · 73 observable behaviours in IATA wording · 329 IATA scenarios for Day 2 planning · as many forms as the airline uses, built natively rule for rule
- Modules: competency grading (IATA lowest-of-three rule), forms built from the airline's manual, Day 2 planning, three-altitude analytics and fleet risk board, instructor standardisation, signed PDF and append-only audit log, EBT stage support (conventional checking native; Mixed EBT native for pilot assessment)

## 2. STRATOS TMS (compliance): every pilot current, every renewal planned

The training management system. Validity, planning, recurrent training, records and audit in one place, configured to the airline's Operations Manual and authority.

- 5 status levels checked daily; the worst item sets the pilot's file · 3-year recurrent cycle run per pilot · KPI targets set per airline
- Modules: validity control, expiry engine (OM-D rules, renewal windows, end-of-month counting), 3-year plan and monthly load, recurrent cycle, digital pilot file, reports (MEETS / WATCH / BELOW), pilot portal & email notices

## 3. How they work together: one crew list, one pilot record, one login

For airlines that take both, every step of a pilot's proficiency check writes to the same record, so nothing is typed twice:

1. **TMS plans the check:** the expiry engine sees the operator proficiency check falls due inside the planning window; the pilot is placed in a simulator group and emailed the assignment, with a reminder before the session. An audit entry is written.
2. **EBT/CBTA grades the check:** grades by the airline's rules, a signed PDF generated on submission, live fleet analytics updated.
3. **TMS updates the record:** the completed, graded session updates the TMS record with no re-typing. The expiry engine recalculates the check from its rule (e.g. 6 calendar months, end of month) and the plan drops the pilot from that month. The pilot portal shows the new expiry; the office is notified.
4. **The Director sees both:** validity and competence for the same pilot, fleet and period, side by side. Board-ready reports and an audit pack are one click away.

### What is shared, and who writes it

- **Crew list:** imported from the crew system and matched to every training record; imports are reconciled so gaps are found before the auditor finds them.
- **Pilot record:** the single record both products update (licences, medicals, checks, courses, grades and documents, per pilot).
- **Training rules:** configured per airline by admins; used by the TMS expiry engine and the EBT/CBTA grading engine.
- **Competency grades:** with the observable behaviours, TEM outcome and instructor narrative behind each one.
- **Expiries:** calculated by the expiry engine from the latest record and its rule, never typed; every expiry traced to its rule.
- **Documents:** scans and certificates filed to the pilot, flagged when missing or outdated, plus a signed PDF for every evaluation.
- **Audit trail:** every change, who, when and how it was entered; every save backed up automatically.

Every airline's data is isolated from every other's. Pilot and cabin-crew records are kept separate at the database level, and the data stays the airline's, exportable in full at any time.

## One platform, every role

One login. Each user sees and changes only what their role allows, in both products. Every action is logged.

- **Training Director & admins:** see everything and set the rules: rules, settings and users; KPI reports by fleet and period; the full audit trail; fleet dashboards and the risk board; instructor consistency; policies, standards and alerts.
- **Training office / coordinators:** run the daily work: record training for one pilot or a class; update crew, plan groups, book sessions; import and export.
- **Instructors:** grade on forms built from the airline's manual; plan Day 2 from the pilot's Day 1.
- **Pilots & cabin crew:** self-service, no calls to the office: portal for licence, medical, renewals and upcoming training; email before each expiry; rate each session through a short link, no login; results framed as coaching, not discipline.

## Implementation: four stages, about five weeks

Target timeline from receiving the airline's manual, records and forms. The airline names one owner; STRATOS does the setup.

1. **Stage 1:** the airline provides its Operations Manual and training manual, current records and forms, and one named owner. STRATOS reviews them and maps every record to a pilot. Output: scope and plan agreed.
2. **Stage 2:** the airline answers mapping questions. STRATOS moves records from Excel, paper or the old system, builds forms from the manual and recalculates every expiry. Output: records migrated, forms built.
3. **Stage 3:** the airline reviews rules and standards. STRATOS loads the crew list, creates accounts, sets up training rules and standards, and reconciles against the source data. Output: Director sign-off.
4. **Stage 4:** the team attends training on live data. STRATOS trains users on their own data and switches on notices and dashboards. Output: expiries, grades and dashboards live.

The airline owns the programme and keeps every regulatory obligation; the instructor sets every final grade and STRATOS never overwrites it. Authorities approve programmes, not software.

## Frequently asked questions

**Can we start with one product?**
Yes. Take STRATOS TMS, STRATOS EBT/CBTA, or both. Each runs on its own. Together they share one crew list, one login and one pilot record, so a graded check updates the next expiry with no re-typing.

**We already use another platform.**
STRATOS moves you across. Your forms are digitised, and your past grades and training records are moved into the new system. The migration is done by STRATOS.

**Do we have to change our forms?**
No. If you have a training manual but no digital forms, STRATOS builds the forms from your manual, rule for rule. If you already have forms you want to keep, STRATOS implements those exactly: same structure, same scoring logic, same sign-off chain, so instructors see what they already know, digitised.

**Will our pilots accept it?**
Results are framed as coaching, not discipline. The instructor sets every grade and STRATOS never overwrites it. Pilots also see their own status in the portal instead of asking the office.

**What happens to our data?**
It stays yours: isolated from every other airline and exportable in full at any time. Pilot and cabin-crew records are held separately at the database level rather than hidden in the interface, so a security review or an auditor gets a verifiable answer about isolation.

**Does it replace our LMS or rostering?**
No. STRATOS works alongside both. Rostering stays where it is, and STRATOS does not deliver e-learning. Connecting the TMS to an existing LMS is on the roadmap: where the LMS supports module export, its learning modules can be embedded in the TMS.

**Is the software approved by the authority?**
Authorities approve programmes, not software. STRATOS supports your compliance with EASA and your national rules, and the airline keeps every regulatory obligation.

**How long does implementation take?**
Four stages, about five weeks, from receiving your manual, records and forms. You name one owner; STRATOS does the setup.
